Audio Visual (A/V) Coordinator
Responsible for ensuring that the technical portion of the event program functions properly.  
PRIMARY RESPONSIBILITIES INCLUDE:

• Coordinate details of IAE events with Program Coordinator.
• Calculate budgets and ensure they are adhered to
• Contact & Coordinate Staging, Lighting, Audio & Video needs for IAE talent (ie: artists, musicians, bands, and disc jockeys).
• Visit venue to plan layout of A/V stations & equipment.
• Be aware of speakers and participants names, bio, exhibits, presentations.
• Participates in all efforts to publicize event.
• Prepare promo videos.
• Negotiate and secure event A/V equipment rentals.
• Work closely with team members to assist in managing the event, including but not limited to, M.C., program coordinator, decorators, stage managers, sound engineers, etc.
• Overseeing website.
• Overseeing Logo.

Child Care Coordinator
Responsible for creating an art program for child ticket holders.
 PRIMARY RESPONSIBILITIES INCLUDE:

• Create a full program that will be ready to post online that is age appropriate and promotes Islamic Art.
• Recruit/Contract team members to assist in all related responsibilities.
• Work with Food Coordinator to plan appropriate menu and meal times.
• Work with Legal Coordinator to prepare Childcare Waivers and Medical Releases.
• Prepare Parent/Child Sign-in/out system
• Calculate budgets and ensure they are adhered to.

Finance Coordinator
Responsible for standard accounting clerical duties in the areas of Accounts Payable, Accounts Receivable.  PRIMARY RESPONSIBILITIES INCLUDE:

• Recruit/Contract team members to assist in all related responsibilities.
• Participate in the development of other team budgets for final approval.
  
• Prepare bank deposits & deposit summary after balancing payments to receipts
• Research refund requests and make decisions for approval or denial.
• Reconcile charges and cash, checks, and electronic payments.
• Maintain required client, sponsor, and vendor payment records, reports, and files.
• Use computer systems to generate information necessary for billing purposes.
• Calculate budgets and ensure they are adhered to.

Food Coordinator
Responsible for booking food vendors for the entire IAE event.
 PRIMARY RESPONSIBILITIES INCLUDE:

• Recruit/Contract team members to assist in all related responsibilities.
• Calculate budgets and ensure they are adhered to.
• Work with Venue Contact and Legal Coordinator to ensure all food vendors have filed proper permits.

Guest Services Coordinator
Responsible for assisting guests with services related to IAE event.  PRIMARY RESPONSIBILITIES INCLUDE:

• Recruit/Contract team members to assist in all related responsibilities.
• Assisting guests book hotel rooms.
• Directing guests to exhibitions, performances, childcare,  prayers, etc...
• Recording and resolving guest compliments and complaints.
• Calculate budgets and ensure they are adhered to.

Legal Coordinator
Responsible for filing and also making sure the correct documents get into the proper hands. PRIMARY RESPONSIBILITIES INCLUDE:

• Recruit/Contract team members to assist in all related responsibilities.
• File Business Forms &/or Permits with proper government offices.
• Prepare Artist Contracts.
• Prepare Medical, Childcare, & Guest Waivers.
• Calculate budgets and ensure they are adhered to.

Marketing Coordinator
Responsible for marketing, branding, advertising, public relations, research, and communications.
 PRIMARY RESPONSIBILITIES INCLUDE:

• Recruit/Contract team members to assist in all related responsibilities.
• Calculate budgets and ensure they are adhered to.
• Create Logo, flyers, posters, announcements, and letterheads for IAE.
• Organize distribution of marketing materials.
• Coordinate Ticket Sales Teams and action plans
• Create Advertisement Campaign Schedules
• Create and Distribute Official Press Releases for Artists, Program, and related Event Topics.

Prayer Coordinator
Responsible for assisting guests with group and individual prayers and prayer times.
 PRIMARY RESPONSIBILITIES INCLUDE:

• Recruit/Contract team members to assist in all related responsibilities.
• Calculate budgets and ensure they are adhered to.
• Work with Program Coordinator to secure an appropriate prayer calls, location, wudu accessibillity, and proper PA system.

Program Coordinator
Responsible for ensuring the event runs smoothly.  PRIMARY RESPONSIBILITIES INCLUDE:

• Coordinate details of IAE events.
• Calculate budgets and ensure they are adhered to.
• Book talent, including artists, musicians, bands, and disc jockeys.
• Visit venue to plan layout of seating and decorations.
• Schedule speakers and participants.
• Coordinate and monitor event timelines and ensure deadlines are met.
• Participates in all efforts to publicize event.
• Prepare presentations.
• Negotiate and secure event space.
• Recruit/Contract team members to assist in managing the event, including but not limited to decorators, stage managers, sound engineers.
• Overseeing website.
• Overseeing Logo.

Registration Coordinator
Responsible for assisting guests with properly registering with IAE.
 PRIMARY RESPONSIBILITIES INCLUDE:

• Recruit/Contract team members to assist in all related responsibilities.
• Calculate budgets and ensure they are adhered to.
• Manage IAE Artist, Volunteer, Vendor, Sponsor, & Staff Registration and Guestlist
• Create online, off-line, pre-sale,  & onsite ticketing system.
• Create Registered Guest identification system (i.e. badges/wristbands)
• Work with Venue Contact and Legal Coordinator to ensure all vendors have filed proper permits

Security Coordinator
Responsible for maintaining safety and ensuring all that enter IAE venue locations are registered guests.
 PRIMARY RESPONSIBILITIES INCLUDE:

• Recruit/Contract team members to assist in all related responsibilities.
• Calculate budgets and ensure they are adhered to.
• Have emergency numbers and venue contacts on hand.
• Guard entrances and exits
• Collect tickets and/or check for guest badges or wristbands.
• Assist guests with logging and resolving lost items and children.
